Data Entry Clerk

ALL ORDINARILY RESIDENT (OR) APPLICANTS MUST HAVE THE REQUIRED WORK AND/OR RESIDENCY PERMITS TO BE ELIGIBLE FOR CONSIDERATION.

The US Embassy is seeking an individual for the position of Data Entry Clerk in the General Services Section-Warehouse Unit.

BASIC FUNCTION OF POSITION

Responsible for follow up of all documentation, posting of the transactions from the original documentation to the Automated data base and maintaining all the file records.

MAJOR DUTIES AND RESPONSIBILITIES

Makes appropriate entries into the ILMS Asset Management using supporting documentation from the storekeeper, hence control/maintain movement of NXP items out and in the warehouse using the Data Recording Program and maintains accurate inventory notes for all missing/Disposed items as well as an up-to-date records of all NXP owned by the US Government.

Ensures that he NXP property records are maintained properly, accurately and according to their respective locations and quantities.

Maintains completed Non Expendable Property Forms (DS584) and receiving reports ensuring that copies are distributed to the individual residences/customers and office respectively.

Responsible for follow-up and posting immediately all Non Expendable Property Forms and Receiving Reports and ensures that all these documents have appropriate signatures and properly filled.

Responsible for conducting furniture/appliance inventories for both incoming and outgoing personnel.

Responsible for conducting annual inventories for CMR, DCR, AID Director’s residence, Chancery, Warehouse and AID building. The inventory reports should be submitted to Washington as per requirement.

Perform any other duties as assigned by the supervisor.

  QUALIFICATIONS REQUIRED

All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.

    Education: 

    Completion of Secondary School is required. Certificate in Storekeeping or Secretarial duties or Office Management is required.

    Prior Work Experience: 

    At least two years experience in Office Management/Secretarial/ Warehousing, clerical or related duties.

    Language proficiency:

    Level III (good working knowledge) English ability and Level IV (fluent) in Kiswahili is required.

    Knowledge: 

    Must have Standard Operating Procedures for warehouse operations.

    Must have Storekeeping and materials management ethics.

    Must have Basic store management practice (documentation)

    Skills and Abilities: 

    Computer skills required.

    Driving license class D.

SELECTION PROCESS

When fully qualified, US Citizen Eligible Family Members (USEFMs) and US Veterans are given preference. Therefore, it is essential that the candidate specifically address the required qualifications above in the application.
